Edit/Cancel through EDI 943, 940
-
We are sending EDI 943 (Warehouse Stock Transfer Shipment Advice) and EDI 940 (Warehouse Shipping Order) to our logistics trading partner.
We are looking for ways to Update or Cancel the 943 and 940 once sent to the trading partner.
Can you suggest how? What segment, element, codes can allow us to designate if we are sending update/cancel to a previously sent transaction.
Thanks

@divyesh-bhagat-prtnr The first segment of the EDI 940 (W05) would be the place to indicate an update or a cancellation to a previously sent transaction. The 940 definition from X12 says:
This transaction set can be used to enable the depositor to advise a warehouse to make a shipment, confirm a shipment, or modify or cancel a previously transmitted shipping order.
For example, you could use both the W05-06 Transaction Type Code and the W05-07 Action Code to indicate this by using one of the X12 supported qualifiers.
Since the
W05-06
and theW05-07
support 446 and 296 qualifier codes, respectively, it would be up to you and your trading partner to agree on what codes to send. For example, you could send
C
forCancelled
as the qualifier inW05-07
, but that is only 1 of 9 possible qualifiers that include the word "Cancel."Question: are you defining your EDI specification, or did your trading partner provide you with their standard 940/943?

@dkanter Thank you! This helps a lot. We are defining the EDI specification so have some flexibility.
Looks like W05-07 Action Code works well considering our context.
Also, I see 943 has the same elements under W06-11, W06-12 (Action Code) that we can use.
Thanks again. Truly appreciate your input.

@divyesh-bhagat-prtnr of course, happy to help!
I did notice that the 943 has a similar segment you can use, but the 940 transaction set definition made it seem like a more appropriate document to use.
Separately, if you want to generate EDI documentation and share that with your partner, Stedi Guides might be a good fit. If interested, we can always hop on a call and help you build your 940/943.
